As a general rule, enquiry and contact data submitted through this website is retained for up to 24 months after Our last interaction with You, unless a longer period is required by law; Usage Data is generally retained for a shorter period.

eScanX - Our Product
eScanX, our Intelligent Document Processing API, is offered as a separate service under its own terms. Documents processed through eScanX are hosted in the EU, are not sent to any third-party AI provider, and are not retained - they are deleted after processing on a schedule You control. This Privacy Policy covers Your use of this website; the processing of documents through the eScanX API is governed by the eScanX service agreement.
Job Applications & Recruitment
When You apply for a role with Us - or send a speculative application - We process the personal data You provide for recruitment purposes.
What We Collect
- Your name, email address, and phone number
- Your experience, cover letter, and any details You choose to share
- Your résumé / CV and any attachments You upload
- If You choose "Apply with LinkedIn", Your name and email from Your LinkedIn profile - used only to pre-fill the form. We do not store anything from LinkedIn beyond what You submit.
Legal Basis
We process application data on the basis of Your consent (given when You submit the form) and Our legitimate interest in assessing candidates and taking steps at Your request prior to entering into an employment contract.
How Long We Keep It
- Speculative applications: up to 6 months, then automatically deleted.
- Applications for a specific role: up to 12 months from submission, then automatically deleted - unless You are hired, in which case the relevant data moves into Your employment records.
Deletion at the end of the retention period is automatic and removes both the database record and the résumé file.
Where It Is Stored and Who Processes It
Application data is held in an EU-hosted PostgreSQL database, and résumés are kept in a private object store - never publicly accessible, and only ever served to You or Our recruiters through short-lived, signed links. Our processors are Our database host, Our object-storage provider, Our email provider, and LinkedIn (only when You use "Apply with LinkedIn"), each acting under a data-processing agreement.
International Transfer
Erichsol operates from Finland and India, so some application data may be accessed by Our team in India. Where this involves transferring personal data outside the European Economic Area, We take steps to protect it with appropriate safeguards in line with the GDPR, such as the EU Standard Contractual Clauses.
Your Rights Over Application Data
You can access, download, or permanently erase Your application data at any time through Our application data request page, or by contacting Us. Your full rights under the GDPR are described above.
Changes to this Privacy Policy
We may update Our Privacy Policy from time to time. We will notify You of any changes by posting the new Privacy Policy on this page. We will let You know via email and/or a prominent notice on Our Service, prior to the change becoming effective.
